Introduction

Thank you for participating in Screenixx® First Frames 100, the inaugural creator showcase on our platform. Protecting your privacy and the confidentiality of your creative work is a top priority for us. This Privacy Policy explains what personal data we collect from project submitters, how we use and protect that information, and the rights you have regarding your data. By submitting your project to First Frames 100, you acknowledge that you have read and agree to the practices described in this policy, which comply with global privacy regulations such as the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA), among others.

Personal Data We Collect

When you apply to First Frames 100, we collect certain personal information and submission-related data.

This may include, but is not limited to:

Contact Information: Your name, email address, phone number (if provided), and other contact details entered on the submission form.

Location Data: General location information such as country or city of residence (which you may provide or which may be inferred from your IP address). We also log your IP address and submission time for security and record-keeping purposes.

Project Details: Information about your creative project that you submit, such as the title, genre,
synopsis/description, and any URLs or links you share as part of your application.

Uploaded Media and Metadata: Any files or media you upload (e.g. video files, scripts, images) as part of your submission, including any metadata associated with those files (for example, file names, sizes, timestamps, or technical metadata embedded in the file).

Other Information You Provide: Any other personal data or content you voluntarily provide in response to application questions or in communications with us (for example, your biography, creative background, or team members’ names if you choose to include them).

We collect this information directly from you via the application form and communications. In some cases, we may also receive technical data automatically (such as IP address and browser type) when you submit through our online form, to help us secure the submissions and verify integrity.

How We Use Your Information

The personal data and project information you provide are used only for the purposes of administering and promoting the First Frames 100 initiative and related Screenixx® programs, as described below. Specifically, we may use your information to:

Evaluate Your Submission: We use the details about you and your project to assess eligibility and to allow our screening committee to review and score your creative work. Your personal info (like name or contact) may be used to distinguish your submission and ensure fair consideration.

Communicate with You: We will contact you via email (or phone, if provided) to confirm receiptof your submission, update you on the selection process, notify you of results, or request additional
information if needed. We may also send essential announcements about First Frames 100 (e.g. changes in deadlines or requirements).

Protect Our Platform and Rights: We may use technical data (like IP addresses or device information) to prevent fraud, ensure submissions are from real individuals, enforce our submission terms, and maintain the security of our systems.

Provide Updates and Marketing (With Opt-Out): With your consent (or as otherwise permitted by law), Screenixx® may use your contact information to send you newsletters or updates about
Screenixx® programs, future opportunities, and marketing communications related to our creator community. We will only send you such promotional emails if you have not opted out, and you can unsubscribe at any time (see Marketing Communications & Opt-Out below for details).

Improve Our Services: We might internally analyze submission data (in aggregate form) to understand our applicant pool or to improve how we run future initiatives. For example, we could look at the number of submissions from each region or genre (without identifying any individual) to plan resources for future programs.

We do NOT use your personal data for any purposes incompatible with the above. We do not use automated decision-making or profiling on your data in a way that could significantly affect you without human review. We do not sell your personal information to third parties, and any sharing of data is done strictly as described in this Policy.

Sensitive Creative Works & Confidentiality

We understand that you may be submitting unreleased creative works, confidential ideas, or copyrighted content as part of First Frames 100. Screenixx® is committed to protecting these materials and ensuring they are handled with the utmost care and security. We recognize that without robust privacy and security
measures, there is a risk of unauthorized disclosure or misuse of unreleased creative works , so we have put special protections in place:

Limited Access: Your project files and creative content are accessible only to authorizedpersonnel at Screenixx® who need to review them for the selection process (such as our internal team and the First Frames screening committee). We strictly limit who can view or download your submission.

Confidentiality Obligations: Everyone involved in handling submissions is bound byconfidentiality. Screenixx® staff and any selection jurors or contractors are required to sign non-disclosure agreements and adhere to privacy obligations. This means they are legally obligated to keep your work and personal details secret and not to share them outside of the evaluation process.

No Unauthorized Use or Sharing: We will not publish, distribute, or otherwise use your submitted creative content outside the context of First Frames 100 without your permission. Your unreleased videos, scripts, or other media will not be shared publicly or used by Screenixx® for any purpose other than evaluating your project and, if selected, preparing for platform release. If your project is not selected, we will not release any information about it being submitted, and the content will remain confidential.

Intellectual Property Rights: Submitting your project to First Frames 100 does not transfer ownership of your intellectual property to Screenixx®. You retain all rights to your work. We may request a limited license to view and evaluate your content (as is standard for any contest or submission process), but you are not signing over any copyrights simply by applying. Any furtheruse of your content (for example, streaming on our platform if you’re selected) would be governed by a separate agreement with your explicit consent.

These measures ensure that your creative work is protected while it is in our care. We treat unreleased projects with the same level of security as we treat our own confidential business information. If for any reason you wish to withdraw your submission, you may contact us and we will remove your files from our active review process (however, note that if evaluation is already in progress or completed, we may retain minimal information as a record that your project was submitted, as described in Data Retention).

Third-Party Services and Data Processors

To manage the First Frames 100 submissions and our communications, Screenixx® uses a few trusted thirdparty service providers. These third parties act as data processors on our behalf, which means they handle your data only according to our instructions and this Privacy Policy. The key third-party services we use (and what they do) are:

Typeform: We use Typeform to power the online submission form that you fill out. When you enter your information and upload files, that data is transmitted to and stored on Typeform’s secure servers. Typeform implements multiple layers of security; for example, data you submit via the form is encrypted in transit and at rest on their systems. Typeform acts only on our instructions and does not use your responses for any purpose other than to provide the form service to us.

Airtable: After collection, we may import your submission data into Airtable, a cloud database service, which we use to organize and manage the selection process. Airtable allows us to securely collaborate on reviewing projects. Any personal information stored in Airtable (like your name or project details) is protected by access controls – only Screenixx® team members involved in the review have access. Airtable is a GDPR-compliant platform and is contractually obligated to protect your data and keep it confidential (they function as our “service provider” or “processor” under privacy laws).

Mailchimp: We use Mailchimp for sending out email communications and updates. If you opted to receive updates or if we need to send batch communications (such as an announcement to all participants), your name and email may be stored in our Mailchimp mailing list. Mailchimp is a wellknown email service provider that maintains strong privacy practices. They will process your contact information only to send our emails and for analytics on email delivery. Importantly, Mailchimp does not sell the personal information of our contacts and will not use your email for their own marketing. They act as a CCPA-compliant “service provider” to Screenixx®, meaning they cannot use your data except as instructed for our purposes.

Each of these third-party processors is governed by a data processing agreement with Screenixx®, ensuring they uphold strict privacy standards and security measures. We have taken steps to ensure that these vendors offer appropriate safeguards to protect personal information and process data in compliance with applicable laws. In other words, our service providers are contractually obligated to keep your information secure and confidential, just as we are. They cannot use your data for any purpose other than providing their service to us.

International Data Transfers: Please note that some of our third-party processors are based in or use servers in other countries. For example, Typeform and Mailchimp store data on servers located in the United States, and Airtable’s infrastructure may also reside in the U.S. or other jurisdictions. If you are outside the U.S. (for instance, in the EU/EEA), this means your personal data might be transferred internationally. Screenixx® ensures that any such cross-border data transfer is done in accordance with GDPR and other regulations – for instance, through the use of European Commission-approved Standard Contractual Clauses or other appropriate safeguards. We take steps to make sure that your data receives legal protection even when stored or processed in a different country, and our contracts with processors require compliance with privacy laws regardless of location.

Your Rights and Choices

Screenixx® is committed to respecting the rights you have over your personal data. Depending on your jurisdiction (and regardless of jurisdiction in many cases), you have a number of important privacy rights:

Right to Access: You have the right to request confirmation of whether we are processing your personal information and to  obtain a copy of the personal data we hold about you. This allows you to see what information we have collected from you.

Right to Rectification: If any of your personal data we have is inaccurate or incomplete (for example, if you notice we misspelled your name or have an outdated email), you have the right to have it corrected or updated.

Right to Erasure: You have the right to request deletion of your personal data (“right to be forgotten”) in certain circumstances. For instance, if you withdraw from the First Frames 100 program or simply want us to remove your information, you can ask us to erase the personal data we hold about you. We will honor such requests to the extent required by law and will inform youif any data cannot be deleted due to legal obligations or other exceptions.

Right to Restrict or Object to Processing: If you are an EU/EEA or UK participant, you have the right to restrict our processing of your data or to object to certain types of processing. For example, you can request that we limit processing if you contest the accuracy of your data or have a pending objection. You can also object to any processing based on our legitimate interests, including objecting to receiving marketing emails (which you can do at any time, as described below).

Right to Data Portability: For EU/EEA/UK users, you have the right to obtain the personal data you provided to us in a structured, commonly used, machine-readable format, and you have the right to transmit that data to another service provider if feasible. In plain terms, we will help you transfer your data elsewhere if you ask, by providing it in a simple file format.

Right to Withdraw Consent: If we are processing your personal information based on your consent, you have the right to withdraw that consent at any time. For example, if you consented to receive marketing emails, you can later opt out and we will stop sending them. Withdrawing consent will not affect the lawfulness of any processing we already did before your withdrawal.

California Privacy Rights: If you are a California resident, the CCPA grants you the right to request certain information about our data practices. You can ask for disclosure of the categories of personal information and specific pieces of information we have collected about you, as well as the categories of sources, the business purpose for collecting the information, and the categories of third parties with whom we share it. You also have the right to request deletion of your personal information (with similar exceptions as under GDPR). Additionally, California residents have the right to opt out of the “sale” or sharing of personal information. However, as noted above, Screenixx® does not sell your personal information to third parties. If in the future we ever considered sharing data in a way that falls under “sale” or “sharing” as defined by CCPA (for example, providing data to an advertiser for cross-context behavioral advertising), we would provide a clear opt-outmechanism.

Right to Non-Discrimination: We will never discriminate or retaliate against you for exercising any of these privacy rights. This means if you choose to exercise your rights (such as asking for deletion or opting out of marketing), we will not deny you services, give you a different level of service, or charge you different prices as a result. Exercising your privacy rights will not affect your chances in the First Frames 100 selection or your relationship with Screenixx® in any way.

How to Exercise Your Rights: If you wish to access, correct, or delete your data, or exercise any other privacy right, please contact us (see Contact Us section below). For security, we may need to verify your identity (for example, by confirming your email or asking for additional info) before fulfilling certain requests, especially for access or deletion of data, to ensure that these requests are coming from the correct individual. We will respond to your request as soon as possible, and in any case within the timeframe required by law (for example, GDPR typically requires us to respond within 1 month, and CCPA within 45 days). There is no charge for making a privacy rights request, though if you make repeated or excessive requests, applicable law may allow us to charge a reasonable fee or refuse the request with an explanation.

If you are a California resident and prefer to designate an authorized agent to make requests on your behalf, we will require proof of the agent’s authority and verification of your identity, as per CCPA regulations. Similarly, EU individuals have the right to lodge a complaint with their supervisory data protection authority if they believe our processing of their personal data is unlawful. We encourage you to contact us first so we can address your concerns directly.

Marketing Communications & Opt-Out

As part of the First Frames 100 program or the broader Screenixx® creator community, we may send you occasional communications about opportunities and updates. This might include:

– Program Updates: Important announcements about First Frames 100 (schedule changes, new benefits, etc.) or follow-up opportunities (for example, other Screenixx® workshops or events for creators).

– Newsletters and Promotions: News about Screenixx® launches, creative industry insights, or future initiatives that might interest you as a filmmaker/creator. These could be marketing in nature (promoting new programs, subscription offers, etc.).

We will ensure that any marketing or promotional email we send you is done in compliance with applicable spam laws and privacy regulations. If you are in a jurisdiction that requires opt-in (consent) for marketing (such as the EU), we will only send you newsletters if you have given such consent (for example, by checking an opt-in box on the submission form). If you are in a jurisdiction that allows “soft opt-in” or legitimate interest for existing users, we will still provide a clear and easy way to opt out.

Opt-Out Mechanism: Every bulk email we send (e.g. via Mailchimp) will include an “Unsubscribe” link at the bottom. You can click that link at any time to immediately stop receiving further marketing emails from us. Alternatively, you can opt out of marketing or ask to be removed from our mailing list by contacting us directly (see Contact Us below). Once you opt out, we will cease using your contact information for nonessential communications. You will not be opted out of critical service emails that aren’t marketing – for example, we may still send you an email if it’s specifically about your First Frames 100 submission or if you win a spot in our showcase, as those are operational, not promotional.

We do not share your contact information with third parties for their own marketing. And as stated, we do not sell personal data. If in the future Screenixx® partners with any sponsor or affiliate and you qualify for special opportunities, we would contact you ourselves or ask your permission before sharing your details. You are in control of your information and can opt out of any further communications from us at any time without affecting your participation in our programs.

Data Security

Screenixx® takes appropriate technical and organizational security measures to safeguard your personal data and your creative submissions. We want you to feel confident that your sensitive materials and personal details are safe with us. Our security measures include:

• Encryption: Any personal data you submit through our online form is encrypted during transmission over the internet using industry-standard protocols (HTTPS/TLS). Likewise, our thirdparty form provider stores your data using strong encryption at rest on their servers. This means that whether your data is in transit or stored in a database, it is encoded to prevent unauthorized access.

• Access Controls: We employ strict access controls to limit who at Screenixx® can access personal data and project files. Only staff who need to process the submissions (for example, our First Frames 100 program managers and designated screeners) have access to your information, and even then they only access what they need. Our systems are password-protected, and we use two-factor authentication and other best practices where possible to prevent unauthorized logins. Third-party services we use (Typeform, Airtable, Mailchimp) also have robust access control and security features in place to protect the data within their platforms.

• Confidentiality Policies: As mentioned, all employees, contractors, or partners who handle creator data are under confidentiality agreements. We also train our team on data privacy principles and ensure that handling of submissions is done discreetly and professionally.

• Network and Application Security: Our website and submission portal are maintained with security in mind. We use up-to-date software and monitor for vulnerabilities. Any files you upload are stored in secure cloud storage. We and our service providers employ firewalls, intrusion detection systems, and other safeguards to prevent external attacks. For example, Typeform’s infrastructure is hosted on Amazon Web Services and benefits from AWS’s physical and network securitymeasures.

• Payment Information: (Note: Currently, submitting to First Frames 100 does not involve any payment. If in any case payment or financial information is collected for related services, that data would be processed securely via a third-party payment processor and not stored by Screenixx®. This is just a general note on financial data handling, which may not apply to this free submission process.)

• Data Breach Procedures: Despite all our efforts, no system can be guaranteed 100% secure. However, we have a data breach response plan in place. In the unlikely event of a security breach that affects your personal data, Screenixx® will notify you and any relevant authorities as required by law. We would also take immediate steps to mitigate the breach and prevent further unauthorized access.

We continuously review and update our security practices to adapt to new threats and technologies. Your trust is important to us, and we strive to use commercially reasonable and industry-standard means to protect all information you share. Please remember that you should also use caution when sharing information online. If we provide you with login credentials or private links for any part of the process, keep those secure and notify us if you suspect any unauthorized access to your submission.

Data Retention

We will retain your personal data and submission materials only for as long as necessary to fulfill the purposes described in this Privacy Policy, or as required by law or legitimate business needs. How long this is can vary depending on the context:

• For the First Frames 100 Program: We will keep the information you submit through the end of the selection process and showcase. After the First Frames 100 initiative concludes, we may retain your data for a certain period in case any issues or opportunities arise (for example, if a selected creator drops out and we consider other candidates, or if we run analysis on the submissions). Generally, for those not selected, we aim not to retain full submission materials longer than a reasonable time
(e.g., 6-12 months) after the program ends. We may retain a record of your basic contact info andthe fact you submitted (for our internal historical record and to possibly invite you to future opportunities), but you can request deletion of this if you prefer.

• For Selected Projects: If your project is chosen as one of the First Frames 100, then your data (including your project files) will be retained as long as necessary to move forward with Screenixx® platform onboarding and distribution. This likely means we will keep it at least through the launch in January 2026 and for as long as your content is hosted or promoted on Screenixx®. Further details would be covered in any distribution agreement, but the personal information related to that will be kept as part of our ongoing business relationship.

• Marketing Contacts: If you have agreed to receive marketing emails, we will keep your contact information on our mailing list until you unsubscribe or ask us to remove it. If you opt out, we may retain just enough information (like your email) on a suppression list to ensure we honor youroptout (so we know not to accidentally re-add you).

• Legal and Compliance: We might need to retain certain data for longer if necessary, to comply with legal obligations or for resolving disputes. For example, if there are any legal claims related to a submission, we would retain relevant information until those issues are resolved. Also, basic transactional records (like an email of your submission confirmation) may be kept for a period
required by law or our internal data retention policies.

When we determine that personal data is no longer needed, we will either delete it or anonymize it (so it can no longer be associated with you). We periodically review the data we hold and erase or anonymize information that is no longer necessary. For instance, our form provider Typeform states that it retains data only as long as needed for the purposes collected and allows complete deletion upon request– we follow a similar principle.

Your Deletion Requests: As noted in Your Rights, you can request that we delete your personal data at any time. Upon such a request, we will erase your data from our active systems and instruct our processors to do the same, unless retention is required for the reasons above. Backup copies might exist for a short time until rotated out, but we have processes to ensure backups are eventually deleted too. We will inform you once we have deleted the data or if any data must be retained (and why).

Updates to This Policy

We may update this Privacy Policy Disclosure from time to time, for example to reflect changes in our processes or to comply with new legal requirements. If we make significant changes, we will notify participants through appropriate means (such as by email or via the submission website) and update the “last updated” date at the top of the policy. However, we expect that for the duration of the First Frames 100 initiative (submission window through showcase), this Policy will remain largely consistent. We encourage you to review this Policy periodically to stay informed about how we are protecting your information. Continued participation in the program or continued use of our site after an update will signify your acceptance of the revised terms.
